Job Summary
Job Description
Reporting to the Chief Information Officer, coordinate and assist in the execution of a wide variety of administrative tasks in support of the IS & T organization. These tasks include but are not limited to the following:
Act as the first point of contact in responding to, and/or referring to the appropriate IS&T staff member questions from employees and managers.
Coordinate IS&T on-call data, providing information to Payroll to insure timely payment. Assist in the management and control of financial expenditures within the IS&T organization.
Review all telecommunications (Data and voice) invoices on a monthly basis for consistency; review with appropriate engineering personnel any deviations from normal expenditures, maintain spreadsheets of various expenditures and the organization to be charged and forward invoice to Finance for vendor payment after management signed authorization has been provided.
• Process and control all departmental CE's and external PO's, which includes the forwarding of approved requisitions to purchasing department for order placement, documenting the purchase order for each requisition.
• Process all vendor invoices so they are validated for accuracy by originating engineer, approved by appropriate management level, tracked in a spreadsheet and forwarded to Finance for vendor payment.
• Create, submit and maintain IS&T Vendor Contracts in the DCS application.
• Investigate missing receipts with Purchasing and Help Desk personnel as necessary.
• Forward invoices to Finance for vendor payment after IS&T management authorization.
• Maintain accuracy of IS&T page in Intranet which includes basic intranet site maintenance along with maintaining departmental Organizational Charts on the WEB. Enter additional information as needed.
• Control and use P-Card for department purchasing, and reconcile bill at the end of each month.
• Distributes department mail and other IS&T paperwork, and paychecks.
Education / Qualifications
• High School diploma or equivalent. Certification and/or Associates Degree preferred
• Minimum of 3 + years of administrative experience is required.
• Proficiency in Outlook, MS Excel, and Word.
• Experience utilizing SAP, Oracle or other similar systems
• Ability to juggle multiple tasks and prioritize based upon the needs of the business
• Ability to interface and communicate well with all levels of the organization
• Ability to understand and assist in writing technical documents (i.e. user's manuals, training materials, installation guides, and essential reports).

Compensation Data
Salary Range:
$44,160.00 $55,200.00 $71,760.00
Please note: This range is based on our current market driven pay structures. Individual salaries are determined based upon a variety of factors including but not limited to, a candidates overall qualifications, such as skills, education, and experience as well as company internal equity.
